
Checklist for New Appointee
Before you arrive

Apply for a HKU Portal account according to the “Instructions on Computer Account Application” enclosed with your Letter of Appointment

Fill in the electronic Personal and Family Data Form by using your HKU Portal account
-
Complete and return the following required forms as stipulated in your Letter of Appointment:

either the MPF enrolment form or Declaration Form for Exemption from MPF if you are a member of a provident, pension, retirement or superannuation scheme established outside Hong Kong
-
"Statement on Housing and Housing Related Benefits Received” or “Application for Housing Voucher / Non-Accountable Cash Allowance” if you are eligible for housing benefits
-
Familiarise yourself with the key Policies and Procedures that are part of your core terms and conditions of appointment

If you are coming from overseas:

Complete and return the Visa Application Form (Form ID 990(A)), and submit the necessary documents to the Human Resource Section. A checklist of the required documents is available at the Guidebook for Entry for Employment as Professionals in Hong Kong (Section VII)

The Human Resource Section will collect the visa label on your behalf and send it to you. You must attach the visa label in your passport and show it to the Immigration Officer upon your arrival in Hong Kong
On your first days

Meet the Manager and buddy
-
Meet the Dean / Department Head / Faculty Secretary

Familiarise with your department’s facilities and operations:
-
have an office tour
-
get an orientation to safety, emergency procedures and evacuation procedures
-
check out the organisation chart and communication directory
-
learn about the work schedule and work rules in your department, and University holidays
-
-
Present your Hong Kong Identity Card or travel document and landing slip which shows your visa expiry date to your Department for formal record
-
Complete administrative matters, such as collect office access card/key, collect equipment/software, submit forms/documents, etc.

Set up your office voicemail, email and workstation
-
For full-time appointees, upload a photograph via the online Personal and Family Data Form. You will be notified by email when your staff card is ready for collection.

Provide details of your bank account in Hong Kong for payment of your salary by completing the section on “Bank account for salary payment purposes” via the online Personal and Family Data Form
In your first month
-
Apply for the Staff Contributory Top-up Medical Insurance Plan if you are entitled to full medical benefits
-
Apply for a Facility Access Card (FAC) at either the Main Library or the Centre for Sports and Exercise for your spouse and dependents (provided their information has already registered in Personal and Family Data Form) for gaining access to the Libraries and Centre for Sports and Exercise

Obtain a checklist of key activities to be performed over the next 90 days (e.g. attend orientation programmes and complete the necessary training as mandated by the University/department on research ethics (for professoriate and research staff), data protection, system/IT security, workplace conduct, health and safety, etc)

Get to know the department/faculty’s values and norms
-
Understand your job responsibilities, the expectation of your position and performance plan
-
Meet with buddy/mentor to understand the department/faculty work culture and support
-
Get to know the campus by browsing the HKU map or taking the virtual campus tour guided by student ambassador

You may apply for parking permit. Eligibility and details are available at the Estates Office’s website

For staff from overseas:

Open a local bank account for salary payment purpose and update your bank account number in the Personal and Family Data Form. Click here to view the banks on or near the campus

Submit reimbursement claim of your passage/baggage costs to the Payroll Unit of the Finance and Enterprises Office (FEO) if you are eligible for passages as stated in your Letter of Appointment. Enquiries can be directed to the FEO at feo-benefit@hku.hk or 3921 2585

If you are permitted to stay in Hong Kong for more than 180 days, apply for a Hong Kong Identity Card within 30 days of your arrival, from the Hong Kong Immigration Department
In your first 90 days

Get engaged and participate in department/faculty activities

Maintain regular meeting with buddy/mentor

Discuss with your supervisor/head your performance/contribution aligned with the expectation of your position and performance plan

Complete an online questionnaire to provide feedback on the onboarding process
